Information we use

When you contact us, request a quotation or place an order, we receive the details you provide: your name, email address, telephone number where supplied, billing and delivery addresses, messages, aquarium specifications, selected finishes, order notes and any photographs or drawings you send. Please avoid including unnecessary personal or sensitive information in these materials.

Our store records purchased items, prices, payment status, transaction references, delivery arrangements and related correspondence. Website services also process technical information such as IP addresses, browser and device details, visit times and interactions for website operation, security and statistics. If you use an existing customer account, its login and order information is also processed. You can currently order as a guest.

Why we use it

We use enquiry and order information to prepare quotations, agree specifications, manufacture or supply products, arrange delivery or collection, communicate with you and handle refunds and after-sales support. Our legal basis is taking steps at your request before entering a contract, or performing our contract with you. Required checkout details are needed to process and deliver your order; without them we may be unable to fulfil it.

We retain appropriate transaction records to meet accounting, tax and other legal obligations. We also use relevant information for our legitimate interests in answering general enquiries, protecting the website, preventing fraud, resolving disputes and managing our business, while considering your rights. Where processing requires your consent, including relevant optional marketing or tracking, consent is separate from accepting our sale terms and can be withdrawn.

Payments through Square

Card payments are processed by Square. Information needed to take and verify payment, such as payment-card details, billing information, order amount and transaction/device information, is sent to Square through its payment service. We receive payment results and transaction references; do not send card numbers or security codes to us by email or in order notes.

Square also processes information for its own payment, security and legal purposes. Read Square’s customer privacy notice for details of its handling of your information and your rights.

Services and people who receive information

Our website is hosted on WordPress.com and uses WooCommerce and Jetpack services from Automattic. These services handle website, order, form and technical data. Akismet spam protection can process submitted content and technical details when checking submissions. See Automattic’s website-visitor privacy notice. Our published Gmail contact address uses Google’s email service to receive and store correspondence.

Information relevant to fulfilling your order may be shared with delivery providers, staff and contractors involved in the work. Accountants, professional advisers, insurers and public authorities may receive relevant records where necessary for their role or required by law. We limit business disclosures to what is needed for the purpose.

To calculate local delivery eligibility, our server sends your delivery postcode to Postcodes.io to obtain postcode coordinates. This lookup does not include your name, street address, email or order details. We use the coordinates to calculate straight-line distance from our workshop postcode and cache lookup results for up to 30 days to avoid repeated requests.

Cookies and website technology

Cookies and similar browser storage support functions such as remembering your basket, checkout sessions and logins. WordPress.com, Jetpack and payment services may also process technical and usage information. Automattic explains its technologies and available controls in its cookie policy.

You can manage or remove cookies through your browser and use any privacy choices offered by the relevant service. Blocking essential cookies may prevent the basket, login or checkout from working. Agreeing to our terms or reading this notice is not consent to optional advertising or analytics cookies.

Storage and retention

Records are held in our website, payment and email systems and in business records needed to fulfil and support orders. How long information is needed depends on the purpose: enquiry records support the enquiry and any resulting quotation; order and specification records support manufacture, delivery, aftercare and disputes; accounting records are retained for the applicable legal record-keeping period. Outstanding complaints, claims or legal requirements may justify keeping relevant records longer.

Our store currently has no automatic deletion period configured for customer and order records, so these records do not automatically expire. Contact us to ask about a particular record or request erasure. We assess requests against continuing contractual, legal and legitimate business needs; an erasure request does not always require deletion of every record. Service providers have their own retention arrangements described in their notices.

International processing and security

Providers such as Automattic, Google and Square operate internationally, so information may be processed outside the UK. Applicable transfer arrangements can include recognised adequacy decisions and contractual safeguards; the provider notices explain their arrangements. Contact us if you need more information about a transfer involving your information.

Access to personal information should be limited to those who need it for their work. Online transmission and storage cannot be guaranteed completely secure. Please contact us promptly if you believe information you have sent us has been misused.

Your choices and rights

Depending on the circumstances, you can ask for access to your personal information, correction of inaccurate information, erasure, restriction of use or a portable copy. You can object to processing based on legitimate interests and to direct marketing, and withdraw consent where consent is the basis for processing. Withdrawal does not affect processing that was lawful before you withdrew it.

Email our privacy contact in the “Who we are” section below with your request. We may need information to verify your identity and locate the relevant records. We normally respond within one month, subject to any extension or exception permitted by law.

You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. You do not have to contact us first, although we welcome the chance to resolve your concern.
